Steps
As part of the purchasing process, send Send an email message to Michael Grimm in the CMU International Finance Office (IFO) indicating the intent to ship items to CMU Africa (Kigali, Rwanda). Carbon copy the receiving representative, the intended recipient, the responsible finance staff in Pittsburgh, and anyone who is expecting shipment updates. The message to CMU IFO must include
The name of the recipient in Rwanda
Itemized invoice(s) and a total amount
Where the items are being received in Pittsburgh (if applicable - see additional notes)
Expected date of arrival in Pittsburgh (if applicable)
A list of restricted/hazardous items. Examples are high watt/hr lithium-ion batteries. NOTE: Laptops, smartphones, and battery-powered consumer electronics are not typically considered hazardous
A list of individual items or groups of identical items with a purchase price over $2,500.00 USD
If the buying group is receiving the items
Verify the shipment immediately after it arrives
Send a follow-up message in the same email thread to the CMU IFO, indicating that the shipment was received
Prepare the items for shipment to Rwanda and send to the CMU IFO via Campus Mail. Indicate the intended recipient again wherever possible.
